At Orchard Credit Union we gather and process your personal information in accordance with this privacy notice and in compliance with the relevant Data Protection Regulations and laws. This notice provides you with the necessary information regarding your rights and our obligations, and explains how, why and when we process your personal data. INFORMATION WE COLLECT
We will collect, store and use the following data about you:

In addition, we obtain your photograph for verification and authentication purposes, which enables staff to quickly identify members. It is the policy of Orchard Credit Union to obtain and retain up-to-date photographic identification on members’ records. It is also the policy of Orchard Credit Union not to retain photographs of account holders under the age of 16 years; in these cases, the signing parent/guardian’s photograph will be used. We process personal information relating to children in connection with junior accounts. We will handle this information in accordance with applicable data protection law and ensure that appropriate safeguards are in place. CCTV operates 24 hours a day within Orchard Credit Union premises for security and crime prevention purposes.
Consequences of not providing your information:
We need to collect personal information by law, or under the terms of a contract we have with you. If you choose not to give us this personal information, it may delay or prevent us from meeting our obligations. It may also mean that we cannot perform services needed to operate your account. It could mean that we cancel a product or service you have with us.
How we use your personal information:
We collect personal information about you to manage your account and contact you if necessary. We will use this information to provide the services and products requested and maintain records. In managing your account, it may be necessary for us to share your information with other agencies and to meet our duties to regulators (FCA and (PRA).

Orchard Credit Union will not share your information for marketing purposes with any other companies.
Tax Liability:
We may share information with domestic and foreign tax authorities to establish your liability to tax in any jurisdiction. Where a member is a tax resident in another jurisdiction, OCU has certain reporting requirements to HMRC under the Common Reporting Standard (CRS). HMRC will then exchange this information with the jurisdiction of tax residence of the member. We shall not be responsible to you or any third party for any loss incurred as a result of taking such actions. The legal basis upon which upon which we do this is compliance with HMRC’s Automatic Exchange of Information standard and is required by law.
Credit Reference Agencies
We may carry out credit and identity checks for you when you apply for loan products. We may use Credit Reference Agencies to help us with this. We will share your personal information with CRAs and they will give us information about you. This data will be used to help us assess whether you are able to afford repayments; make sure what you’ve told us is true and correct; help detect and prevent financial crime, including fraud, money laundering and terrorist financing checks (which may include Politically Exposed Person (PEP) and sanctions screening); manage accounts with us and trace and recover debts. When we ask CRA’s about you, they will note it on your credit file. This is called a credit search. Other lenders may see this, and we may see credit searches from other lenders. Audits:
To meet our legislative and regulatory duties to maintain financial accounts, we appoint an external auditor. We will allow the external auditor to see our records for these purposes.
Administrative Purposes:
We will use the information provided by you, either contained in this form or any other form of application, for the purposes of assessing this application, processing applications you make and to maintaining accounts you hold with Orchard Credit Union. We do not allow our third-party providers to use your personal for their own purposes, and they are required to take appropriate security measures to protect your personal data.
We may appoint external third parties to undertake operational functions on our behalf. We will ensure that any information passed to third parties conducting operational functions on our behalf will do so with respect for the security of data and will be protected in line with data protection law.
Electronic Payments:
If you use our electronic payment services to transfer money from your credit union account or make payments through your debit card into your credit union account, we are required to share your personal data with our electronic payment service provider First Trust Merchant Services.
Data Transmissions to Third Countries:
Transfers are made in reliance on the UK’s adequacy regulations, which recognise the European Economic Area (EEA) as providing an adequate level of protection for personal data.
Data Retention Periods:
Orchard Credit Union only ever retains personal information for as long as is necessary and we have strict review and retention policies in place to meet these obligations. We are required under UK law to keep your basic personal data for a minimum of 6 years after which time it will be destroyed. After you stop being a member, we will keep your data for up to 6 years, to maintain records according to rules that apply to us; respond to any questions or complaints or to show that we treated you fairly. We may keep your data for longer than 6 years if we cannot delete it for legal, regulatory or technical reasons.
Where you have consented to us using your details for direct marketing, we will keep such data until you notify us otherwise and/or withdraw your consent.

Letting us know if your personal information is incorrect:
You have the right to question any information we have about you that you think is wrong or incomplete. Please contact us if you want to do this. You may have the right to object to certain processing of your personal information or request deletion of your information where applicable. There may be circumstances where we are required by law to retain or continue using your information
